Privacy Policy
This policy explains what SHS Planner collects, why, and what you can do about it. It is written in plain language rather than legal boilerplate, because a policy nobody reads protects nobody.
Who We Are
SHS Planner (shsplanner.com) is a privately owned, independently operated website based in Ghana. It is not affiliated with the Ghana Education Service, NaCCA, the Ministry of Education or any government body. For anything in this policy, contact us via the contact page.
What We Collect
Information you give us
- Account details — your name and email address, provided when you sign up with Google or with an email one-time code.
- Teaching profile — optional details such as your school name, region, and the subjects and year groups you teach. These are used to fill in generated documents.
- Document inputs — the subject, year, week, topic and any instructions you enter when generating a document.
- Messages — anything you send through the contact page or the in-app issue reporter, including any files you attach.
- Reviews — any rating or review you choose to submit.
Information collected automatically
- Usage records — which documents you generated and when, how many credits were used, and whether a generation succeeded or failed.
- Technical data — IP address, browser type, device type and approximate location derived from your IP (country and region level only).
- Page analytics — which pages were visited and which links were clicked, so we can see what is useful.
How We Use It
- To generate the documents you request and let you download them
- To run your account, credits, payments and refunds
- To reply when you report a problem or send a message
- To send you service messages — refund notices, replies to your issues, and important account or service changes
- To find and fix bugs, and to decide what to build next
- To protect the service against abuse, fraud and spam
We do not sell your data, and we do not run advertising on this site.
AI Processing
Documents are generated using a third-party artificial intelligence service. When you generate a document, the inputs you provide — subject, year, week, topic, your instructions, and your name and school where these appear on the document — are sent to that provider so the content can be produced.
We do not send your email address, password, payment details or contact history to the AI provider.
Payments
Payments are processed by Paystack. Card numbers, PINs and mobile money credentials are entered on Paystack's own secure checkout and are never seen, handled or stored by SHS Planner. We receive only a transaction reference, the amount, the currency and whether the payment succeeded, which we store to credit your account and to resolve any dispute.
Who We Share Data With
We share the minimum necessary with the services that make the app work:
- The AI provider — document inputs, as described above
- Paystack — payment processing
- Google — only if you choose to sign in with Google
- Our web host — which stores the site and its database
- Email delivery — to send one-time codes, refund notices and replies
We may also disclose information where we are legally required to. We do not otherwise share, rent or sell your information to anyone.
Cookies and Local Storage
SHS Planner uses cookies and browser storage only for things the app needs to function:
- A session cookie to keep you signed in
- An optional long-lived login cookie if you choose to stay signed in
- Local storage for your preferences and for remembering that you dismissed a banner or prompt
We use no third-party advertising or cross-site tracking cookies. Clearing your browser data will sign you out and reset these preferences.
How Long We Keep Data
- Account data — while your account is active, and deleted on request
- Generation and usage records — kept for service, billing and dispute-resolution purposes
- Payment records — retained as required for financial record-keeping
- Issue reports and attachments — kept so the conversation history stays available to both sides
Your Rights
You can ask us to:
- Tell you what data we hold about you
- Correct anything inaccurate
- Delete your account and personal data
- Stop sending you non-essential email
Send the request from the email address on your account via the contact page. Note that some records — payment history in particular — may need to be retained for legal and accounting reasons even after an account is deleted.
Security
The site is served over HTTPS, sign-in uses Google OAuth or one-time email codes rather than stored passwords, and payment credentials never reach our servers. No online service can promise perfect security, but we take reasonable measures to protect your information and act quickly on anything reported to us.
Children
SHS Planner is intended for teachers and other adult education professionals. It is not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will remove it.
Changes to This Policy
If this policy changes materially, the date at the top will be updated and, where the change is significant, we will notify you in the app. Continuing to use SHS Planner after a change means you accept the updated policy.
